Quote, estimate, invoice: three documents, one set of numbers
A quote and an estimate are offers; an invoice is a bill. The difference customers care about is commitment: a quote is a price you are prepared to hold until the date on it, an estimate is an informed guess for work that is still being scoped, and an invoice is the document that asks to be paid. Sending the wrong one wastes a week — an estimate that looks like an invoice gets paid late, and a quote that looks like an invoice gets paid twice.
All three documents want the same content: who is quoting, who is being quoted, a reference number, the line items with quantities and rates, tax and discount, and the total. What changes is the wording — the title, the date label, and whether the total is presented as an amount owed or an amount proposed.
What a quote has to say
- A quote number the customer can quote back, in the same series as your invoices.
- The issue date and a Valid until date — a quote without an expiry is an open-ended promise.
- Line items specific enough to be compared: scope, quantity, rate, and what is excluded.
- Tax and discount shown as lines, not folded into a single lump sum.
- A note on what happens next: deposit percentage, acceptance method, and what changes the price.
The total on a quote is deliberately labelled as a quote total, not a payment request, so the customer does not pay before accepting. When they accept, convert the document instead of retyping it.
Deposits, expiry and the quote-to-invoice handover
Most service businesses take a deposit against the quote. Two ways to show it: put the deposit in the notes as a percentage of the total, or add a line for the deposit and a negative line for the balance. Keep the quote total as the full job price either way, so the customer sees one number that the deposit is measured against.
When the work is approved, switch the document type to Invoice. The line items, tax rate, discount and client details stay in place, the number moves into the INV- series, and the dates are rebuilt as an invoice: issued today, due in 14 days. Then download the PDF — both documents are generated in your browser, so the two versions stay consistent without a spreadsheet in the middle.
Quote, estimate or invoice — which one to send
Nothing is uploaded, no account to create
The quote is assembled by JavaScript in your own browser and the PDF is built there too: no account, no email gate, no watermark across the document, no limit on how many quotes you send. The only measurement on the page is Cloudflare’s anonymous page counter, which never receives anything you type. Quotes carry commercially sensitive rates, so a tool with no server in the middle is the shortest privacy policy you can have.
Three industry presets
Start from a quote that already reads like your trade. Each preset fills the line description, the 30-day validity wording and a deposit line in the notes; change anything you like before downloading.

Questions
What is the difference between a quote, an estimate and an invoice?
A quote is a fixed offer you stand behind until the date printed on it. An estimate is a best guess for work whose scope is not settled yet. An invoice is the request for payment sent once the work is agreed or delivered. This tool builds all three from one form, so nothing is retyped.
How long should a quote stay valid?
Long enough to cover the customer’s decision, short enough that your costs stay true: 14 to 30 days is common for services, and shorter when the price depends on supplier costs. This page defaults to 30 days and prints the date next to Valid until.
Can I turn a quote into an invoice without retyping it?
Yes. Switch the document type from Quote to Invoice and the line items, tax, discount and client details stay exactly as they are; the number moves into the INV- series and the dates are rebuilt as an invoice — issued today, due in 14 days.
Is a quote legally binding?
Only as far as the wording you put on it: a quote with a validity date and a clear scope is an offer that the customer accepts by signing it or paying a deposit. Keep the same number and wording, and that document becomes the record of what was agreed.
